OutcomeOps LLC ("Company," "we," "us," or "our") operates the RetrieveIt.AI platform. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Service.

Account Information

  • Email address — authentication, account recovery, communications
  • Display name — personalization within the Service
  • Organization membership — access control and billing

Content You Provide

  • Uploaded documents — files for indexing and search (PDF, DOCX, TXT, MD)
  • Conversation history — your queries and AI-generated responses
  • Vector embeddings — mathematical representations for semantic search (cannot be reverse-engineered)

Usage Data

  • Query counts — for billing and usage limits
  • Storage usage — for billing and usage limits

Website Analytics

  • IP addresses — unique visitor counts and geographic analytics (via server logs)
  • Pageviews & navigation — pages visited and time spent
  • Referrer information — how you found our website
  • Device information — screen size, viewport, user agent
  • Scroll depth — engagement metrics

We use first-party analytics and Google Analytics for website analytics.

We explicitly do not collect or store:

  • Passwords — we use magic link authentication (passwordless)
  • Credit card numbers — payment data is handled entirely by Stripe
  • Device fingerprints — not collected
  • Third-party tracking cookies — we use first-party analytics only
  • Provide, maintain, and improve the Service
  • Process your searches and generate AI-powered responses
  • Authenticate you and manage your account
  • Track usage for billing and enforce usage limits
  • Send service-related communications (account notifications, security alerts)
  • Analyze website usage to improve marketing and user experience
  • Comply with legal obligations

Amazon Web Services (AWS)

Data stored in US-based AWS regions with encryption at rest (AES-256) and in transit (TLS 1.2).

Amazon Bedrock (AI)

Processes queries using Claude. Does not store conversation data and does not use your data to train AI models.

Stripe (Payments)

We only store your Stripe customer ID and subscription status. See Stripe's privacy policy.

Google Analytics

Used on our marketing website. You can opt out using the Google Analytics Opt-out Add-on.

Third-Party Integrations

When you connect GitHub, Confluence, Slack, Google Drive, or Notion, we access data via OAuth tokens you authorize. We only access data necessary for search functionality.

  • Authentication tokens — stored in browser to keep you logged in
  • Session data — first-party analytics (localStorage, 30-minute expiration)
  • Google Analytics cookies — website analytics (you can opt out)

We do not use third-party advertising cookies or cross-site tracking.

Secrets Management

AWS SSM with KMS encryption

  • Account data — until you delete your account
  • Documents & embeddings — until you delete them or close your account
  • Conversations — until you delete them or close your account
  • Usage metrics — current month plus historical records
  • System logs — 7 days

After account cancellation, data is retained for 30 days (for reactivation), then permanently deleted.

  • Access — view your personal data through your account dashboard
  • Correction — update your account information at any time
  • Deletion — delete documents, conversations, or your entire account
  • Data portability — download your uploaded documents
  • Opt-out — unsubscribe from marketing emails

If you are a California resident, you have additional rights under CCPA:

  • Right to know what personal information is collected, used, and shared
  • Right to delete personal information
  • Right to opt-out of sale of personal information (we do not sell your data)
  • Right to non-discrimination for exercising your privacy rights

The Service is not intended for use by children under 18 years of age. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us.

We may update this Privacy Policy from time to time. Material changes will be posted here with an updated date. Continued use of the Service after changes constitutes acceptance of the revised policy.
